Options in Electronic Records Management
Article Abstract:
Records managers who develop systems for storing, retrieving, and communicating information records are a vital part of information systems. Paper documents require physical handling and much storage space. Source document cameras and Computer Output Microfilm devices can produce microform records for automatic retrieval. Electronic files stored on disks and tapes can be manipulated and are not durable for long-term storage. Searching extensive digital text can be facilitated by compressing the text or searching multiple parts simultaneously. The popular approach in handling systems with all these media is the Computer Assisted Retrieval system. Electronically stored information can be disseminated by network communications, document information by facsimile. Optical disk applications still have technical bugs.

Article Abstract:
Although a records automation system may be well thought out, it is important to leave room for modifications. This is as necessary as there is a difference between theory and practice; there may be unanticipated applications needed and systems requirements may be under- or overestimated. Modification needs can be accommodated in the design process by recognizing that all requirements cannot be anticipated, developing system flexibility, and obtaining in-house technical support.
