Article Abstract:

Records management departments need public relations and education to convince other employees that their services are reliable. A records management system needs good design to insure convenient, fast service. Automated distributed systems provide that convenience. The New York Power Authority utilizes a records management system in which records are assigned descriptive keywords at departmental stations, microfilmed at the records department, and added to the computer data base for retrieval.

Part of automated records management, correspondence control is the reception, logging and appropriate distribution of documents. Automated records management can be beneficial in expediting document distribution. Its success depends on the timely handling of documents, current and accurate distribution lists and a correct description of the document when creating its record in a data base.
