Records Automation: Advanced CAR Systems Represent the Beginning of a New Generation of Vital Tools for Records Use

Article Abstract:

The recent conference of the Association for Information Management saw the introduction of several new records management systems. ADCARS (Automated Drawing Control and Retrieval System) from Tera Corp. provides automated drawing control functions, drawing searches and retrievals, and high resolution image output. EDCS (Engineering Drawing Control System) from Access Corp. has had an image transmission subsystem added to it. CADMAC (Computer-Assisted Document & Control)from Infodetics Corp. was upgraded by the addition of a new proprietary software package. Several other new computer-aided retrieval products are briefly described.

Article Abstract:

As businesses expand their computer systems, the management and availability of data becomes increasingly more difficult. A solution should be developed and enforced before this problem materializes. One solution is to make copies of corporate documents and transmit these copies to a central electronic file. According to the importance of specific documents, on-line access should be granted for a necessary length of time. Thereafter, documents would be stored on magnetic tape, microforms, paper or other off-line sources. This solution would allow for information to be shared for a specified amount of time.

Article Abstract:

Data base management systems were developed to create and manage data so that records could be accessed by any user in an organization. Pointers direct logical relationships between data elements and can either be unidirectional or bidirectional. There are two DBMS structures: hierarchical and network. A relational DBMS is designed so that non-technical users can access data. With a relational DBMS, the physical representation of the data and application programs do not need to be changed. A drawback is reduced machine performance. Diagrams of DBMS structures are included.
