Managing a Computerized Medical Record Information System Conversion

Article Abstract:

Computerization involves identification of need, feasibility, planning and design, development and implementation. Implementation schedules include the activities of organizing personnel, selecting and ordering equipment, training plan development, remodeling, installing hardware, building a data base, testing, training, switchover and system evaluation. A potential problem is employee complaints about VDT's if lighting levels are not appropriate. A hierarchy of employee needs are physical comfort, safety and security, affiliation and esteem. The stages in training employees should include orientation, roles and skill development. Different methodologies for switchovers are parallels, pilots, phased and cold turkey. Important aspects of equipment acquisition are physical size, flexibility, capacity and maintenance. The same data files should be used in all systems in an institution and should be updated by one source. Documentation of implementation status is important for keeping administration informed of the project.

Toward Better Control: A Medical Record Department Management Reporting System

Article Abstract:

The medical records department at Cedar Sinai Medical Center was chosen for a study to analyze current performance and to develop an evaluation system to monitor programs. The department appeared to be run by a crisis management approach. The solution to this problem was the development of a formal management reporting system that would operate as an early warning device. Benefits of the management reporting system are available information for departmental planning and the opportunity for employees to evaluate themselves.
