Manager's Workshop: How To Avoid Office Automation Pitfalls

Article Abstract:

Overzealous installation of equipment, exercising too much control and underutilization of facilities are three common maladies which result from automation. A business executive should purchase only the equipment that fulfills his needs. Frequently, executives will purchase too much hardware due to eagerness. In addition, control should be enforced using both common sense and self-restraint. Stringent controls placed on employees will hurt creativity and motivation. Finally, underutilization may result when a business has installed too much equipment in a short span of time. Underutilization can occur when employees are not properly trained or when employees purchase an excess of equipment. By exercising common sense and addressing his needs, a businessman can avoid these problems.

Technology can improve productivity by increasing speed, lowering costs, and raising quality. People are of equal importance. The first step in improving productivity is to identify obstacles. A list of possible impediments from insufficient goals, motivation, training and equipment to bottlenecks in operations is given. Alternatives must be evaluated. Costs and user resistance may impose constraints. Management must be involved, as improvements should enhance management capabilities.

Article Abstract:

Of the several reasons for resisting office automation, fear of job loss is number one. Fear of losing power or sense of position are prime factors. If management communicates the reasons for change, encourages participation in planning and implementation, input for improvements, counseling and training, the transition will be smoother. The process should be gradual.
