Enhancing document management
Article Abstract:
Many law firms are not aware that their document management systems are capable of expanded functions such as organizing data to facilitate legal research, storing standard documents and the processing macros which go with them together, organizing and labeling files such as mailing lists and standard forms and providing a linkage between the document management and other systems. In order to facilitate expanded use, a firm needs to evaluate the kinds of information its system uses to identify documents and then update and revise them to make it possible to use them in the intended ways.

Document management systems add efficiency
Article Abstract:
Document management systems perform many useful functions in a law firm including finding documents, archiving, time accounting, keeping duplicate copies and version tracking. SoftSolution and PC-DOCS are two of the more popular products available. The typical cost is $200 to $300 per workstation. Pitfalls to be avoided include allowing use to be optional, permitting control of archive status by users, not standardizing keywords and inadequate training.

Systems can ease burden of document production
Article Abstract:
Document assembly programs and expert systems can help attorneys create documents more efficiently by automating the repetitive forms involved. The process should start with the identification of frequently-used documents which would lend themselves to automation. All frequently used forms should be put in a standardized-forms library. A lawyer and a programmer together should develop the expert system based on the contents of this library.
