Do You Really Have Control of Your Paperwork System?

Without a forms control system, paperwork can choke the flow of information. Computers are not the answer if excessive printouts add to the problem. Several suggestions are made for instituting controls. Put all forms into a control numbering system. Formulate written procedures. Insist on authorization to reproduce forms, including control of the copier. Reproduce through in-house printing. Schedule reviews to eliminate, consolidate and redesign forms. This can save thousands of dollars for first cost forms and result in twenty-five times that amount in record costs savings.

You Can't Do without Paperwork in a Data Base

Article Abstract:

Data bases provide data to a multiplicity of users for a range of purposes directed toward decision making. Original paper documents are maintained for purposes of evidence. Managers have not promoted an awareness of or systematized aids for access to document files as they have for computerized data bases. Documentary evidence is used to protect an organization's rights and to provide backup for computer files, or auxiliary information not in computer files. Document management includes taking inventory, assessing user needs, and implementing and maintaining a system.
