Making the most effective use of secretarial help

Article Abstract:

Making the most of a secretarial talent requires three important attitudes: sincere appreciation, willingness to delegate creative work, and a good disposition. Good managers recognize and acknowledge good work; setting aside time for support staff; maintaining confidentiality; recognizing the need to provide interesting work; not confusing a secretary with a domestic; and knowing how to control temper and mood. Whenever a business decision affects support staff, they should be involved at least in its discussion. Bosses need to recognize that there is life outside the office, and that 'rush jobs' may ruin long-standing plans. Secretaries should be kept well informed, and ideally should be introduced to all customers. Managers should be flexible, trust their employees, and remember that the employees represent the company to the outside world.

Nine steps to a successful question and answer session

Article Abstract:

Nine hints for post-speech question-and-answer periods include: soliciting questions in a positive way; using a self-questioning technique; answering all questions by looking the questioner straight in the eye and repeating the question; looking at the audience when answering the question, returning one's look to the questioner at the end; keeping answers brief and to the point; defusing loaded questions; cutting off questions that are clearly not questions, but speeches; eliminating the question-and-answer session altogether, if desired; and always maintaining control of the floor.
